Terms and Conditions

The Annual Congress of Surgery for Students and Young Doctors is a scientific event organised by Romanian Students' Society of Surgery — Craiova Branch (Str. Independenței nr. 290, Cămin U4, Camera 806, Sector 6, București, România, Fiscal Code (CIF) 16850733).

By using this website — browsing, creating an account, purchasing tickets, submitting abstracts or registering for workshops — you fully and unconditionally accept these Terms and Conditions.

1. Registration and participation

  • Registration on the official website is mandatory in order to take part. It is your responsibility to check that the data you enter is correct — it is used to generate your certificate of attendance, your personal badge and any other conference material.
  • There are two categories: active participants (presenting authors, who submit an abstract and pay the presenting author fee) and passive participants.
  • The official language of the congress is Romanian. Abstracts must be written in English.
  • Admission to any venue requires the official conference badge bearing your name. Participants who cannot present a valid badge will be denied access, and no refund is issued in that case.

2. Payment

  • All fees are paid online through this website. Cash payments are not accepted.
  • Fees are stated in Romanian Lei (RON) and/or Euro (€) and vary with the registration deadline and participant category.
  • Payment confirmation is sent to your registered email address, together with your ticket.
  • Missing the general payment deadline cancels your registration.
  • All fees are non-transferable to other people or future editions.

3. Workshops

  • Seats are limited and allocated first-come, first-served among participants who have paid. Payment comes before booking.
  • Once a workshop is booked, no modifications, exchanges or substitutions are permitted.
  • Some workshops are restricted to specific years of study and may have prerequisites, as stated on the workshop page.
  • Arrive at least 15 minutes early. Access is prohibited once a workshop has started, and no refund is given for a workshop missed because of your own scheduling.
  • A scientific event needs a minimum of three registered participants to take place; the organisers may cancel below that threshold, in which case the refund policy applies.

4. Cancellation and refunds

Cancellation requests submitted 30 days or more before the congress are eligible for a 50% refund. Requests received later than that are not eligible. If the organisers cancel the event, you are entitled to a full refund of the participation fee.

5. Conduct

  • Smoking outside designated areas, drinking alcohol during scientific events, and any verbal or physical abuse, antisocial behaviour or unlawful conduct result in immediate eviction, a permanent ban from TACSSYD and SSCR Craiova events, and cancellation of your account and bookings. No refund can be claimed in these situations.
  • Harassment or discrimination of any form will not be tolerated. Report incidents to any staff member or to presedinte.craiova@sscr.ro.

6. Liability

Participants attend at their own risk, and are strongly advised to hold travel and health insurance covering medical expenses, accidents and trip cancellation. The organisers are liable only for claims arising from intentional misconduct or gross negligence on their part, and assume no liability for personal injury, illness, loss or damage to personal property, travel delays or accommodation issues.

7. Photography and recording

By registering you consent to being photographed and/or recorded during the congress, and to those materials being used for promotional purposes. If you do not wish to be photographed or recorded, write to presedinte.craiova@sscr.ro at least 7 days before the congress starts. Participants may not record or reproduce congress content without explicit written consent.

8. Data protection

Personal data is used solely to organise and run the congress — certificates, badges, communication with participants and publication of the abstract book. See the Privacy Policy for the full detail, including how to access, export or delete your data.

9. Changes to these terms

These Terms may be altered. Any alteration is announced by email to each registered participant. If you do not agree with a change, you may request termination of your registration within 2 business days of receiving that email, at presedinte.craiova@sscr.ro, and be refunded any fees already paid, subject to the Refund Policy. Continued use of the website after a revision means you accept it.

10. Applicable law and disputes

Romanian law applies, and Romania is the place of performance and jurisdiction for all claims. Before going to court you may use the out-of-court routes described in Consumer rights and complaints.
